Digital Project Management Office

As part of the COOPERANTS funding project, a Digital Program Management Office (DPMO) is being developed to facilitate collaboration between companies in the aerospace industry within the context of Gaia-X. The DPMO aims to provide services throughout the lifecycle of an aerospace vehicle to support faster, safer, and more efficient project execution.

Through a dashboard, relevant project information is presented clearly and access to further functionalities is centrally enabled. The creation of the DPMO and the associated platform aims to ensure efficient and continuous project planning (“end-to-end concept to delivery”), with networked data processing playing a central role. By sharing data, all information is kept up to date. Contractors, clients, and other partners are enabled to exchange and edit documents via a shared workspace.

The core elements of the DPMO are so-called Smart Services, which are designed to provide intelligent support to the PMO and project partners to speed up routine tasks. The DPMO is modular and consists of the following components:

  • Smart Program Planning – Project visualization with Gantt Chart
  • Model-based Template Manager – Central customizing tool
  • Smart Risk & Opportunity Manager – Risk management
  • Smart Review & Delivery Manager – Management of acceptance processes and documents
  • Smart Contract Management Service (concept only) – Contract generation

In short, the digital Program Management Office developed within the framework of COOPERANTS and Gaia-X aims to improve the efficiency and effectiveness of programs and projects in the aerospace industry. By integrating intelligent planning, risk, contract, and review tools, collaboration between companies is enhanced and the realization of common goals is facilitated.

 

Smart Program Planning

The Smart Program Planning component is an intuitive project planner with classic GANTT functionality and a planner for the Work Breakdown Structure (WBS). The chronological project plan is enriched with numerous pieces of information and serves as the central starting point for the application’s other functionalities. This component offers intelligent planning tools to efficiently structure programs and optimally utilize resources. Automated planning functions make it easy to create and manage schedules and milestones.

 

Model-based Template Manager

This central configuration tool is used to input and control individual project specifics to map different project categories. Here, workflows for the acceptance process or risk management can be customized. The use of model-based templates for project creation and management facilitates users’ work. Standardized processes and procedures help companies save time and resources and improve project quality. A core competence of this component lies in the variable configuration of the project’s funding rate, which automatically influences reporting once set up.

 

Smart Risk & Opportunity Manager

Risk management is a crucial success factor for projects. This DPMO component functions as a management tool for risk management within the project. It enables the recording of risks and opportunities, as well as the control and management of measures to mitigate risks. Progress is continuously monitored and tracked. This DPMO function allows potential risks and opportunities to be identified and addressed early through lists and Kanban views to promote positive project developments. A filterable risk dashboard allows targeted highlighting of actions taken. Pre-configured reports facilitate the exchange with project stakeholders.

 

Smart Review & Delivery Manager

This DPMO component allows for the efficient recording and display of project-related contracts and documents. Additionally, the Smart Review & Delivery Manager facilitates the review of project progress and results, acting as the document hub for the project. Documents can be shared or linked with milestones to transparently track project progress. Besides document management, the Smart Review & Delivery Manager streamlines the acceptance process. The embedded process ensures transparency about who needs to take the next acceptance step. Notifications and reminder functionalities help reduce waiting times.

 

Smart Contract Management Service (currently only a concept)

Currently only a concept, the Smart Contract Management Service proposes drafting grant project contracts during the project initiation phase before the actual project begins. Users can choose the best proposal, customize it, and finalize it accordingly.
